Who we are

Span Blue is a trading name of LDN INDUSTRIES LTD, a company registered in England and Wales (company number 15306226). Our registered address is 108 Reepham Road, Hellesdon, Norwich, Norfolk, NR6 5PD.

We provide architectural drawing, planning, building control and design coordination services. We are the data controller for the personal information described in this policy.

If you have any questions about this policy or how we use your information, contact us at lewis@spanblue.com or 07500 328197.

What information we collect

When you contact us or use our services, we may collect:

  • your name, email address, phone number and postal address

  • the address and details of the property your project relates to

  • information about your project, including sketches, photographs, plans, measurements and existing documents you send us

  • correspondence between you and us, including emails, messages and notes of phone calls

  • invoice and payment records

We collect this information directly from you, from enquiry platforms you use to contact us (such as Bark), and from public sources such as council planning records and Ordnance Survey mapping.

How we use your information

We use your information to:

  • respond to your enquiry and prepare a fee proposal

  • produce drawings and carry out the services you have asked for

  • submit planning and building control applications on your behalf and deal with the council

  • send invoices and keep financial records

  • keep you updated about your project

We process your information because it is necessary to provide the services you have asked for (contract), to meet our legal and accounting obligations (legal obligation), and to run and improve our business (legitimate interests).

We do not sell your information, and we do not use it for advertising.

Who we share it with

We only share your information where it is needed to deliver your project or meet our legal obligations. This may include:

  • structural engineers, planning consultants and drawing technicians who work with us on your project

  • local planning authorities, the Planning Portal, building control bodies and Historic England, when we submit applications on your behalf

  • our accountant, for bookkeeping and tax purposes

  • the providers of our email, file storage and software tools, who process data on our behalf

Everyone we share information with is expected to keep it secure and use it only for the purpose we have shared it.

Our email and software tools

We use Google Workspace for email. Our own internal software reads correspondence in the Span Blue mailbox so it can prepare draft replies and invoices for us to review. It never sends emails on its own. Information obtained through Google’s services is used only to provide our services to you, and its use complies with the Google API Services User Data Policy, including the Limited Use requirements. Some of this processing uses AI services that act on our behalf and do not use your information to train their models.

How long we keep it

We keep project files and correspondence for up to 6 years after your project is completed. This lets us answer questions about the work and meet our professional and insurance obligations. We keep financial records for 6 years, as required by HMRC. After that we securely delete them.

Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you

  • ask us to correct information that is wrong or incomplete

  • ask us to delete your information, where we no longer need to keep it

  • object to or ask us to restrict how we use your information

  • ask us to transfer your information to another organisation

To use any of these rights, email lewis@spanblue.com. We will respond within one month.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
